Each export includes only data visible to your account. Files open directly in Excel.
One JSON file containing every record — households, contacts, matters, appointments, tasks, pipeline, message history, and non-secret settings. Credentials and tokens are never included. Store it somewhere safe (restoring is a manual operation — ask Claude when needed).
Types drive the appointment modal. Defaults prefill method and duration (overridable per appointment). "Sequenced" types get 1st/2nd/3rd labels per household; others show by name only. When Calendly is linked later, its event types will map onto these.

Days after sending before each reminder is drafted into the message queue, per item type. After the escalation day, reminders stop and a task is created instead. Intake reminders use the intake automation steps' own delays; the intake row here controls escalation only.
Marketing attribution — the "how they found us" options offered on every file. Deactivating hides an option from dropdowns without touching historical records. Channels (web form / email / phone / lead magnet) are fixed — the intake pipeline stamps those automatically.
The papolalaw.com form posts to /api/public/lead-intake. Every submission is stored before any spam filtering — nothing is ever lost, only classified.
The questionnaire clients receive by secure link (and you open in attorney mode from any file). The invite email is editable on the Templates page (\u201cIntake: Questionnaire Link\u201d).
Known clients (matched by email) are logged on their household as a subject-and-snippet activity. Unknown senders become lead candidates per the mailbox mode above.
From your Square Developer dashboard (developer.squareup.com): open your application and copy the access token for the chosen environment; your location ID is under Account → Locations (or the Locations API). Use a sandbox token + Sandbox environment to test safely — no real emails or charges.
When clients can book. One-off exceptions go in Blackouts on the Bookings page.
Events on these calendars block booking slots. "Skip" patterns exclude matching event titles (like a partner's OOO). Events marked Free in Google never block.
The words clients see on the booking page. Merge fields: {invited_name}, {appointment_type}, {duration}, {appointment_method}, {organization_name}, {office_phone}. Blank = default.
When something happens (an appointment is created, a file changes status, a lead converts), a rule can create a task checklist. Auto creates the tasks silently; Ask shows a checkbox prompt at that moment so you approve each one; Off keeps the checklist but never fires.
The step checklist a new matter starts with, grouped under its stage ladder. Checking the last step of the current stage auto-advances the stage (you can always click the strip to move manually, forward or back). Edits here apply to future matters; existing matters keep their own checklist ("Apply template" in the matter adds any new steps).
One-click costs offered on the matter. An amount makes the click add instantly; leave it blank for variable fees (recording, ERP) and the click fills in the cost form instead. Limit a preset to one matter type or leave it on All. Square processing fees are captured automatically from paid invoices — no preset needed.
